Viewing References

There are several ways to view your references and a variety of functions may be performed from each view. To learn more about the functions that can be performed from each view, see Managing References.

When viewing lists of references, you can also choose how you would like them displayed:

In the Standard and Full views only (not the One line/Cite view and custom views), you can also easily see which folder(s) each reference is in.  Clicking on the hyper-linked folder name will display all the references stored in that specific folder. You can modify where the reference is stored by clicking on the edit link.

By default, only 25 references will display per page.  You can change the number of records displayed by going into the Customize area.  Replace the current References Per Page number and click Save.  You can choose to display up to 100 records per page (or up to 500 records per page with One Line/Cite View), however, the more records per page you display, the longer it can take to appear on your screen.  Also, if you choose a large number of records per page AND also choose Full View, this can impact the amount of time it takes for a page to display.

Hint:  If you want to print out all the fields of information in your references, select your references, click the Print button  (or drag the references to the Print References link on the Quick Access bar) and then select the RefWorks Tagged Format from the output style list, or create a custom output style.

Author Resolver™ Links

RefWorks features an author information service that links author names from your RefWorks database to possible matching concise profiles about the authors. The Author Resolver™ service draws from Scholar Universe™, a multi-disciplinary, editorially controlled database of over 3 million authors, researchers, and scholars. The Author Resolver™ concise profile includes an author’s current affiliation, education, a statement of expertise and most recent publications.

Within your RefWorks database, an su.gif  icon displayed next to an author name indicates a potential author profile match. When you click on the su.gif icon, a new window opens up displaying a list of potential profile matches.

The level of confidence of the accuracy of the match is indicated with bars; the higher the bars, the more likely it is that a profile is an accurate match to your selected author.  You can determine when RefWorks will display the person icon by selecting a level of certainty (bars), as we well as having the option to disable the feature.

By default, the Show 2 Bars or More option is selected. You can modify this option, as we well as disable the feature in the Tools, Customize area -- Reference List Options section.  Make any changes by selecting a new option from the drop-down.  Make sure to save your changes by clicking on the Save Customized Settings button at the bottom of the page.

View All References

To see all of the references in your database, from the View menu select All References.

The references appear in the main viewing area.  Each reference will have a variety of icons displayed in the Action Bar.  Depending on the view you have selected for viewing your references and individual reference options, you may see the following icons:

magglass.jpgView - clicking on View displays the full reference (only the fields with information will display)

cite.jpgCite - displays the Citation Viewer used by One Line/Cite View to insert temporary citation placeholders into a document.

edit.jpgEdit - allows you to edit the existing reference information.

addmylist.jpg Add to My List - allows you to place the selected reference in the My List temporary folder.

attachment.jpgAttachments - indicates files are attached to the reference.  When you mouseover the attachment icon, the file name(s) appear.  Clicking on a specific file name will launch the file (provided you have the appropriate software to view the file on your computer).  For information on viewing attachments in references, click here.

comment.jpgComments - displays any comments made by others who access your shared references.

addcomment.jpg Add Comment - allows you to add a comment to a shared reference.

In addition to the individual reference action bar, below the standard information (Title, Author, Source) you will see:

Folders - if the reference is stored in a folder (or folders) you will see the folder name(s) listed.  You can click on a specific folder name to access all the references in that folder.  This is an option that you select from the Customize area.  You can also click on the folder name from the Quick Access Bar on the right.  This will display all references in the folder.

Link Resolver - if your organization uses a link resolver, you will see either the name or a logo for the link resolver.  Clicking on that link or icon may provide you with access to the full text of an article or identify if that reference is available locally at your organization.  This option must be established by your local RefWorks Administrator in the RefWorks Administrator Tool.  In the One Line/Cite View or custom views, you will see a Link Resolver icon OpenURL.jpg.  If you mouse over that icon, you can then click on your organization's Open URL link or icon.

View an Individual Reference

You can view an entire reference by clicking on the View magglass.jpgicon from any list of references.   When viewing a reference you will see only the fields that have information in them.  At the bottom of the reference you will see any comments posted by others with whom you've shared the reference.

There are several tasks you can perform while viewing a reference:

View by Folder

To view references in a specific folder, click on the folder or sub-folder name from Folders area of the Quick Access bar or if you have set the option to display folders names in the Customize area, click on the hyper-linked folder name displayed with the reference in any view or list of references (all references, search results, etc.).

You can designate a specific folder of references to display when you log in to RefWorks.  In the Customize area, select the name of your folder from the View Folder drop-down in the Startup Options area.  You can also specify a default sort order as well.

Search Results View

After you have performed a Search or Advanced Search, the results appear in the view area.

Sorting References in a View

When viewing references in a folder, from search results or viewing all references, you have the option to change the order of what you are viewing by making a selection in the Sort by drop-down.
