General Enhancements

Enhanced Global Edit

In addition to being able to add information to specific fields using the Global Edit feature, you can now move, delete and even replace information throughout your references.  Just click on the Global Edit button in your RefWorks account to see the new tabbed options available to you.

Linking Authors to COS Scholar Universe™

RefWorks features an author resolver that links author names from your RefWorks database to possible matching profiles within COS Scholar Universe™ database.  Scholar Universe™ is a multi-disciplinary database containing profiles of authors, university faculty and other scholars.

Author names with the icon   icon indicates a potential match in Scholar Universe™.

If you click on the icon and your Organization is a Scholar Universe™ subscriber, you will see the full record.  All others will view a free preview profile.

Note:  The  icon is only displayed in the Standard View or Full View (when viewing a list of references) or by clicking the View link for a specific reference.

This feature is also available when accessing a folder or database via RefShare.

Non-English and Multi-Language Bibliographies

RefWorks has new features for users with non-English or multi-language bibliographies.  These features include special handling and automatic formatting of ordinal numbers and ignoring leading articles in titles when sorting the bibliography, as well as the ability to customize output styles for formatting of multiple languages.

To do this, RefWorks has added a new field to all references -- Output Language.  The Output Language reflects the language the reference is entered or typed in within your database.  By making a selection from the Output Language drop-down (or establishing a default Output Language in the Tools, Customize area), RefWorks may apply special handling and formatting for a bibliography which is very important in multi-language bibliographies.  

Currently, only certain languages have special formatting and handling:  English, Catalan, French, German, Italian, Portuguese and Spanish.  Details are available in the Help file section on Creating Non-English and Multi-Language Bibliographies.

Users can also modify output styles to include alternate language formatting.   Alternate language formatting can be used in multi-language bibliographies -- allowing for language-specific formatting which is included in the bibliography, in-text citations or notes based on the Output Language field designation in the reference.   For example, if you are citing references in English and in German in the same paper, you can format titles differently for specific references within the same bibliography.  See the Help file section on Adding Alternate Languages to an Output Style for details.

New Fields for PubMed ID and PubMed Central ID

Two new fields have been added to every reference type reflecting the changes made by the NIH (National Institute of Health) in the U.S.  These fields are the PubMed ID (PMID) and the PubMed Central ID (PMCID).  We have modified the import filter for NLM PubMed to place these two ID fields in their respective RefWorks fields.  Also, any output style can be modified to include these fields in the bibliography.  Check the Help file for information on modifying an output style.

RefWorks and Accessibility

RefWorks has a screen-reader compliant interface for our Windows users with disabilities.  The new interface can be accessed by clicking on the  icon to the left of the References area in the toolbar within RefWorks and works with JAWS or MS Narrator.  You can also establish the screen-reader compliant interface as a default in the Tools, Customize area.  Details about the feature of the new interface are in the Help section on RefWorks and Accessibility.

Miscellaneous Enhancements

Advanced Searching Enhancement

Now you can use the Advanced Search feature to search for fields without any information.   If you want RefWorks to include empty fields in your search, check the Search for Empty Field box next to the search value.

Note:  Certain fields do not have the Search for Empty Field option.  These fields are Source Type, Reference Type, Ref ID, Attachments, All Authors, All Periodicals and the Anywhere field.

Attachment File Size Increased

We’ve increased the per attachment file size from 5 MB to 20 MB.  This increase will allow you to attach larger files to your references.

PubMed Links in RefShare

If you have PubMed Linking enabled in your account (Tools, Customize area), these links are now visible in RefShare in a shared folder or database.  PubMed Links allow users to easily view the original PubMed record, search for additional information in PubMed based on the authors of the reference and access related articles in PubMed.

Additional User Definable Fields

Now you have 15 User Definable fields which can be renamed to fit your needs. These fields are available in every reference and can be included in your customized output styles.  Rename them in the Tools, Customize area.

Duplicate Detection Auto-Selection Made Optional

Pre-selection of duplicate references is now an optional feature.  You can disable this feature in the Tools, Customize area under the Reference List Options.

Administrator Enhancements

Creating a Direct Export from an Ex Libris ALEPH Catalog

Harvard University has shared their code for creating a direct export to RefWorks from an ALEPH catalog.  This item is available in Administrator Central, Customizing RefWorks area.

Customizable Quick Start Guide version 5.0 Available

Download this Adobe Acrobat file to add your Organization’s name and contact information to our Quick Start Guide and post or print it for your users.  Available in English only from the Administrator Central area of the Administrator Tool.

General Enhancements

Write-N-Cite III for Windows with Offline Capabilities

RefWorks is pleased to inform you that Write-N-Cite III for Windows has completed beta testing and a final release version is now available for downloading.  This optional plug-in provides you with single document formatting (and unformatting) as well as the ability to write and format a paper completely offline! Simply download your RefWorks database from within Write-N-Cite while online, then feel free to disconnect from the internet.  Full Write-N-Cite functionality is available – inserting temporary citation placeholders, viewing reference information, using the citation editor – even formatting your paper in the output style you choose.  All without accessing the internet.  Download the new Write-N-Cite III for Windows from within your RefWorks account by selecting Tools, Write-N-Cite.

Write-N-Cite v2.5 for Mac is Now Available

The latest Mac version of Write-N-Cite is fully available. This Write-N-Cite for Mac version 2.5 works with Microsoft Word 2008 for Mac and the Leopard operating system and has the same features as the current Write-N-Cite for Mac (citation editing, two document format, etc.).  Download the new version from within your RefWorks account by selecting Tools, Write-N-Cite.  

Attachment Feature Available to All Users

RefWorks has made it’s attachment feature available to all users that are part of a subscribing organization.  Users receive 100 MB of default storage space (which can be increased to a maximum of 200 MB by your local RefWorks Administrator).  Now it’s even easier to store your research documents along with your references!  You can attach any type of file – the only requirement is that you have the software necessary to view the attachment.  For information on how to attach files to references, see the online help section Adding References Manually or review the RefWorks Basics tutorial section Entering References Manually.

Please Note:  The local RefWorks Administrator has the ability to disable this feature for any account. This can be done within the Administrator Tool.

Write-N-Cite III for Windows with Offline Capabilities (Beta)

Windows users can now write and format a paper completely offline with this new version of Write-N-Cite.  Simply download your RefWorks database from within Write-N-Cite while online, then feel free to disconnect from the internet.  Full Write-N-Cite functionality is available – inserting temporary citation placeholders, viewing reference information, using the citation editor – even formatting your paper in the output style you choose.  All without accessing the internet.  Click here for all the details from the online help section Working Offline.  

Improved APA Bibliography Formatting

RefWorks is the first to automatically detect whether a reference has a Digital Object Identifier (DOI) or other electronic information and print the appropriate information in your bibliography when an APA output style is selected – meeting the new APA guidelines.

To do this, RefWorks made changes to the Output Style Editor.  Now when you create or modify an output style in RefWorks, there’s a new option in the Bibliography Settings area that allows you to Apply APA Rules for Electronic Source field inclusion.  This option can be used in any output style.  Here's how it works:  When this option is selected, RefWorks will look for Digital Object Identifier (DOI) information for the reference and print that first.  If there is no DOI in the reference, then the RefWorks will print the information in the Links field.  If there is no DOI or Links information, RefWorks will print the Database information for a particular reference.  Note:  This setting only applies to references where the Source Type field is set to Electronic.

Automated Marking of Duplicate References for Deletion

When using the Exact Match or Close Match duplicate detection features, RefWorks now pre-selects (marks) for deletion the newest duplicate reference.  Only one reference per matched references is selected (so if you have three versions of the same reference only the most recently added is pre-selected).  This can help make the deletion of duplicate records even easier!

Improved RefGrab-It Results For PubMed and Amazon

RefGrab-It will now retrieve all the related articles for a record when looking at the detailed record view in PubMed.  When used with Amazon, related books will also be included.  This provides users with even more supplemental information to import directly into their RefWorks database.

Deleted References Folder

References deleted from your account are now automatically stored for 30 days in the Deleted References folder.  This folder is accessible by selecting Folders, View, Deleted References from the toolbar.  References can be restored to their original location in your database from within this folder.  File attachments, RefShare comments and folder designation all remain until the reference is permanently deleted.

Reference Type Name Change

The current reference type Journal has been changed to Journal Article to better reflect the type of information being cited.   

Reorganized Help File

The online help file has been reorganized to make it easier to find and locate information.  Topics have been consolidated into fewer, more logical groupings.

Administrator Enhancements

Blackboard Building Block for v. 7.X

A new Blackboard building block for the RefWorks integration has been developed specifically to work with all Blackboard versions 7.0 and higher.  This building block is available in Administrator Central (Customizing Your RefWorks Site section).  Blackboard 6.X organizations can still use the older building block which is also available in Admin Central.

Shibboleth Integration

RefWorks can now be integrated with Shibboleth for single login authentication.  Please contact Support@refworks.com if you are interested in this feature.

Advanced Features Training Leader Guides

In the Admin Central area of the Administrator Tool, you'll now find a new set of training leader guides for conducting your own RefWorks Advanced Features training session.  These guides follow the Advanced Features Training Outline and also the topics covered in our tutorial and webinars.  You can customize each module or the entire session to suit your needs.

Advanced Features User Workbook

Also in Admin Central, we've added a new self-directed user study guide which provides exercises on topics covered in the Advanced Feature training session.  This can be used as a standalone guide or as a pre or post-training handout.  Feel free to customize with your own examples.  A generic version is available in our online help along with the Fundamentals version of the workbook.

General Enhancements

New Mac Write-N-Cite

This new version for the Mac now includes the Citation Editor feature.  No more manual entry of in-text switches to include page numbers, hide text, add text and more!  See the online help section or Basic tutorial module on Using Write-N-Cite for details on how to edit citations.

User Customizable Output Style List

Users can now create their own list of output styles using our Output Style Manager.  The Output Style Manager allows you to select styles from the complete output style list and have only your Favorites display (along with any Organization-Specific styles selected by your local RefWorks administrator).  No more scrolling through hundreds of styles to find the ones you want!  This new feature replaces the display of your last 10 selections, as in the previous versions of RefWorks.  Your last 10 selections prior to this release, are now in your Favorites list, which you can modify using the Output Style Manager.  Brand new RefWorks users will see a pre-defined list of output style selections as their Favorites, which they can modify using the Output Style Manager.

Add/Edit Reference Enhancements

When adding or editing a reference, the name of the folder(s) the reference is filed in are now immediately displayed beneath the folder drop-down, making it easier to view your folder selections.  Also, when you select a folder name from the drop-down, you will now see an asterisk (*) next to the folder name.

 

We’ve also added two enhancements related to AccuCite.  When you choose an output style for AccuCite in the add or edit mode, all the recommended fields for that output style will be displayed together, near the top of the add or edit page.  This makes it easier to see which fields of information AccuCite recommends.  Also, you are now able to select a None Selected option in AccuCite should you prefer to hide output style-specific recommendations

New Export Option - RefWorks Tagged Format in XML

RefWorks and RefShare users will now be able to export references in XML using the RefWorks Tagged Format.  The existing XML export will be phased out over time.

 

Miscellaneous Enhancements

Open URL Linking Available in Reference View

Users in organizations that have implemented Open URL linking will now see the Open URL link or icon available when selecting the View link to display the full reference details.  The Open URL link will also appear when selecting the View link in RefShare.

New Output Style Sort

Output Style Editor users will now see a new sort in the Bibliography Settings area.  This sort formats bibliography by First Author, Number of Authors, and Year (Ascending).

Updated RefWorks Basics, Advanced Feature and RefShare Tutorials

All RefWorks tutorials now include audio.  Simply turn down your speakers if you do not wish to hear the voiceover.

Ability to Modify User Type and Area of Focus

Users can now modify their User Type and Area of Focus (which you select when you create your account) in the User Information area.  To make modifications, simply select Tools, Update User Information from the menu.

 

RefShare Enhancements

RefShare Recipients who have access to a shared folder or database via an RSS Feed can customize the RSS Feed String to include all records after a specific date.  To do this, simply append the RSS feed string with the following =1&basedate=ddmmyyyy and add the string to your RSS feed reader.

 

Administrator Tool Enhancements

Organization-wide option to enable Electronic Source Related Fields

RefWorks Administrators can opt to have the global edit related to electronic source related information fields display by default for all users.  These four fields of information (data source, database, links and retrieved date) will display on the Import Results screen after any import.  This option is in the Subscriber area and corresponds to the default Source Type selection.  Users can override the default selection in their Tools, Customize area.

Account Activity/Inactivity Options

Two new options have been added to the Account Activity/Inactivity area, giving administrators the ability to view accounts:

    - Accounts not accessed in past 2 years

     - Accounts not accessed in past 3 years

Usage Summary Report

An issue with the export of the Usage Summary report has been corrected.

Automatic Updating of User Type and Area of Focus Statistics

As we mentioned above, users can now update their User Type and Area of Focus in the Update User Information area of their account.  When users make any change to either field, the User Type and Focus Area Summary displayed in the Usage Summary Report area of the Administrator Tool will automatically update to reflect these changes.
