Can I communicate with other RefWorks Administrators? Yes, all RefWorks Administrators can sign up for our moderated Listserv in the Administrator Central area.
Back to the top Do you have any suggestions on how to market or promote RefWorks to my
users? In our Administrator Central area of the Administrator tool, we offer
suggestions and materials to assist you in promoting RefWorks to your users. Administrator Central is a terrific
resource for all types of information and new items are continually being added.
Back to the top How can I learn about setting up and customizing RefWorks for my
organization? We have an Administrator Tutorial that shows you how to use the features
available to you in our Administrator Tool as well as online help documentation available in RefWorks.
Back to the top Can I add electronic data vendors in the Search, Online Catalog or
Database area? A. Yes - as long as they are Z39.50 compliant. You'll need access
information from the data vendor, but you can set up links to include passwords or have your users provide the
password. RefWorks' Administrator Tutorial will show you how to set this up.
Back to the top A colleague created an output style in their RefWorks account and I'd
like to make it available to all our users. Can I do that? Yes, just have the user use the Backup/Restore feature in their account.
They would "backup" their specific output style only, which creates a file they save on their computer. Then they
would email that file to you and in the Master Account, you would "restore" that output style. Then, in our
Administrator Tool, you can make the output style available to everyone in your Organization. The Administrator
Tutorial illustrates how to do this.
Back to the top If a user forgets their password, can I retrieve it? RefWorks allows you to reset the password to a randomly generated one that
you can give to the user. Administrators (and RefWorks support staff) are prohibited from accessing password
information.
Back to the top Can I make a folder of references in my database available to everyone at
my institution without them having to log in to my account? Yes, with our RefShare feature (optional add-on module), you and anyone
else you grant access to, can share your RefWorks account or just a folder of references with a URL.
Back to the top Can I select just the import filters my Institution uses to be
displayed? You can "move" any import filters your Institution uses frequently to the
top of the list where your users need only select your Institution name, then the database/data vendor from a
drop-down. We don't allow Institutions to delete import filters from the list, as your users may have access to
some of these sources elsewhere and we wouldn't want to limit their ability to import data.
Back to the top Can I require my users to log in to RefWorks from off-site via our proxy
server? Yes, you can do this by not distributing the group code (used for off-site
access). You can customize the email that is automatically generated when users register for an account (or forget
their login) to exclude the group code and to give them instructions for logging in via the proxy
server.
Back to the top Can I get a list of users to email information to? Yes, you can export a tab delimited list of users and email addresses from
the Administrator tool. You can even create a list with some paramaters (e.g. all users, users who haven't accessed
RefWorks in the past month, etc.) should you want to target a specific group.
Back to the top My Institution uses a custom output style. Can I share it with everyone
in my Institution? Yes, you can post output styles just for your users to access using the
Master Administrator account and the Administrator tool. The Administrator online tutorial will show you how to do
this.
Back to the top Can we configure our OPAC to export records directly to
RefWorks? Possibly. In the Administrator Central area of the Administrator tool, we
have some customization instructions other customers have used for their OPACs and are willing to share with you.
We will continue to add new OPAC instructions as we receive them.
Back to the top Do you offer any training materials to assist me in training my
users? We currently offer a standard course outline and some supplemental handouts
for your use in training your users. In addition, we offer on-site and web-conferenced training with one of our
Customer Education Experts and we have online tutorials and quick reference cards available to all users from within
RefWorks.
